Owner-Operator Cost-Per-Mile: What It Really Is (2026)

Your cost-per-mile is the single most important number in your business: it is the line under which a load loses you money. Most operators underestimate it by 20-40 cents a mile, which means they take freight that quietly costs them money. Here is how to get it right.

Fixed costs (you pay these whether you roll or not)

• Truck and trailer payments
• Insurance premiums
• Permits, registration, UCR, and the 2290 heavy-vehicle use tax
• ELD subscription, software, and other monthly overhead

Variable costs (they scale with miles)

• Fuel — usually your single biggest variable cost
• Maintenance and tires — set aside per mile even in months nothing breaks
• Tolls, scales, and def
• Driver pay, if you pay yourself or a driver a per-mile wage

The formula

Add your total fixed and variable costs for a period, then divide by the miles you actually ran in that period. The trap is the denominator: divide by loaded miles only and your cost-per-mile looks great — but you did not get paid for the deadhead miles you drove to pick up the next load. Use total miles, deadhead included, or you are lying to yourself.

Why deadhead changes everything

If you run 15% deadhead, roughly one in seven of your miles earns nothing while still burning fuel, tires, and time. A load that looks profitable at the rate per loaded mile can be a loss once the empty miles to reach it are counted. Tracking deadhead percentage is how you stop taking those loads.
